Stewardship
1. SCOPE: The Stewardship Committee operates in the area of parish financial revenue generation, chiefly in accounting for mass and other services collections.
2. PURPOSE: The purpose of the Stewardship Committee is to count and tabulate the collections, to insure that the proceeds are properly accounted for to each contributor, and that deposits are promptly made to the parish's account.
3. FUNCTIONS:
a) Receive collections and segregate into individual collection groups, i.e., Sunday collections, Special collections, etc.
b) Open envelopes, insure that the contributor's information appearing on the envelope is correct, and verify that the amount in the envelope corresponds with the information on the envelope.
c) Segregate checks from cash within envelopes.
d) Endorse and record checks.
e) Count and gather cash for deposit by bill denomination.
f) Perform re-check of cash amounts to insure a correct count.
g) Perform a cash receipts inventory and identify the total amounts by bill denomination.
h) Prepare deposit ships and parish records of all transactions.
i) Insure that bank deposits are promptly made.
4. ORGANIZATION & MEMBERSHIP: The committee consists of approximately four (4) to six-member (6) teams appointed by the Pastor. Each team is responsible for collections for one (1) week of each month. The Pastor assigns a "lead" person for each team who is responsible for bring collections from the church, insuring the activity is properly carried out, preparation of the final deposit ships and parish accounting records, and making bank deposit. The parish staff prepares and distributes a schedule of meeting dates and assigned teams.
5. SCHEDULE: The committee usually meets at 9:30 AM on the Monday following Sunday collections. In the event of holidays falling on a Monday, the schedule is adjusted to the following day.
6. COMMITTEE COSTS AND OTHER PARISH GROUP RELATIONSHIPS: Clerical materials are provided by the parish staff. There are no other costs associated with the operations of the committee nor does it have any relations with any other parish committee.
